Rental Policies - Party & Event

It is Grand Rental Station’s goal to provide quality service and equipment to our customers. Making your event a success is our top priority. To ensure that our agreement with you is clear and concise, we ask that you direct your attention to the following information regarding our procedures.

Reservations:

We encourage reservations for your wedding, party or banquet needs. A 50% down payment is required to ensure the availability of rental equipment. Final counts and balance of payment is due 2 weeks prior to event. All payments made toward your account are nonrefundable. Reservations are accepted over the phone by credit card or in person by visiting our showroom. Should you require assistance with planning a large event, an appointment is recommended. Changes on Orders:

Please be advised that once an item is reserved on your contract it cannot be removed if you change your mind in the future. We are happy to adjust the inventory count down or up (subject to availability) based on your final count which is due 2 weeks prior to your event. We would expect a reasonable adjustment and regret that we cannot cancel an item completely from the contract, only accept adjustments based on RSVP final counts.

Cancellations:

Any event that is canceled with less than 7 days notice is subject to a fee equal to the full contract cost. All other event cancellations with more than 7 days notice in writing will receive an in store credit. No in store credit will be issued for cancelled tent rental or special orders. In store credits are for future event rentals and are nontransferable.

Security Deposits:

A major credit/debit card security deposit is collected in addition to rental fees for all contracts at the time the rental item leaves our premises. The credit/debit card is required to be in the same name as the Renter. Please note that we are unable to use a prepaid debit card for the security deposit. The deposit fee will be quoted at the time of your reservation and is subject to modification if additional rental items are added to the contract. Security deposits cover any balance due from loss, damages or overtime fees while the rental equipment is in your possession. If the rental equipment is returned as contracted, this fee is fully refundable.

Rental Period:

All rates are for single use rates. Rentals may be picked up one day before the event and returned the next business day. Special long term rates available upon request. Customer pickups and returns are scheduled during the hours of 9:00am- 3:30pm Monday through Friday. Our warehouse is closed on Saturday and Sunday. We encourage you to become familiar with the size and capacity of your order to ensure your vehicle is adequate to transport rental equipment. Delivery is available for a fee; please inquire with our office for a quote.

Delivery Service:

Delivery and pick up service is available for a fee and is determined by zip code. You will be contacted one or more days in advance with an approximate date and time for your delivery. Depending on seasonal schedules, location of event site and weather conditions, some deliveries are made 2 or more days in advance of your event. You will be notified in advance if your delivery or pick up dates estimated at the time of your reservation will be modified. We regret that we cannot take time specific delivery requests; however, your items will be delivered one or more days prior to your event to allow for adequate set up time. A separate delivery charge will apply to items added after our truck has left the building.

  • All deliveries are made during normal business hours, to the first floor, to your door or dock. Additional charges apply for stairs, elevators and areas not accessible by our truck.
  • Chairs and tables will be delivered stacked. To avoid additional fees, items will need to be stacked and ready for pick up in the same area as delivered.
  • Our rental fees do not include labor to set up or down rental equipment. If this service is desired, please contact our office in advance of your event for a quote.
  • No equipment should be moved to another address unless Grand Rental Station is notified and gives consent.
  • Our count of items must be accepted unless we are notified immediately. No credit on unused items.
  • Equipment must be protected and sheltered from the weather. Responsibility for rental equipment remains with you while items are in your possession.

Pick Up Service:

Upon pick up of items by our delivery staff, all glassware, flatware, dishes and silver should be rinsed food free and repacked in the same containers as delivered. Linens should be sorted, refuse free and dry prior to repackaging. Decorative items must be free of your personal embellishment and stacked ready for pick up in the same location as delivered. Items not meeting these conditions are subject to a minimum 25% service charge of your rental contract as well as labor charges for table and chair tear down services when not arranged in advance. Please return all packing supplies. A charge will apply to missing boxes, crates, tubs, and hangers.


Every attempt is made to assure the quality of the equipment we rent. If you should experience any problem, please contact our office immediately. All damage claims must be made prior to use. We reserve the right to upgrade the quality of your order if circumstances beyond our control prevent us from processing your order as requested. All prices subject to change without notice.
